The Challenge

The bakery relied on phone calls and manual messages for distributor orders (Syrian bread, burger buns, etc.). This caused delays, data loss, and quantity errors - especially during peak pre-dawn hours when most orders are prepared.

Intuitive Distributor Interface

When logging in as a distributor, a simple and easy form appears for entering required quantities of each product. The system saves orders instantly and sends email notifications to management.

The products page displays a comprehensive dashboard for each product including: product name, quantity produced, quantity sold, quantity available, quantity requested, remaining after delivery, and active orders. Management can add new products and edit data from any device.

The production page is directly linked to the bakery/oven and displays a comprehensive dashboard for each product: quantity produced, sold, available, requested, remaining after delivery, and active orders. This helps management identify missing products and accurately plan daily production.

Automated Archive System

Every completed order is automatically moved to the archive. This keeps current data clean and allows referencing old orders anytime for review or analysis.

The system core consists of +2000 lines of custom Google Apps Script code on Google Sheets. Smart Inventory System: Real-time tracking of quantities (produced, sold, available, requested), automatic calculation of remaining after delivery and expected orders, automatic product shortage detection. Intelligent Notifications: Automatic emails sent when: new order placed (with full details), order modified (old vs new values comparison), order delivered (with timestamp), order cancelled. Complete Automation: Auto-archive completed orders, data updates every 5 minutes + on any change, multiple reset systems (manual/auto/partial/full), duplicate sales prevention. Advanced Management: Auto-alphabetical product sorting, complete timestamp tracking for every operation, smart security system to prevent data loss. Result: A living system running 24/7 with zero manual intervention.
